- WHO IS RESPONSIBLE FOR YOUR PERSONAL DATA?
Imbema Holland BV is the controller of the processing of your personal data, including personal data in the context of recruitment and selection by the aforementioned group and subsidiary companies.
- FOR WHAT PURPOSES DO WE PROCESS YOUR PERSONAL DATA?
We collect and process your personal data to facilitate the recruitment and selection procedure, and make sure it proceeds as efficiently and effectively as possible.
- To inform you and communicate with you regarding your work or job application
If you have shown interest in a position at Imbema, we store your personal data in our HR database. We use the data in this database to communicate with you, and to determine whether your qualifications and your profile match the requirements of the specific vacancy. We may also use the data to inform you at a later date about new vacancies, or invite you to other recruitment activities.
This requires us to process your contact details, photos, recruitment information (such as your CV, work experience details, education data, etc.) and correspondence with Imbema regarding applications (including references).
We only process your personal data for this purpose if you give your consent when you provide the data.
Your personal data will be kept for this purpose until four weeks after the application procedure ends. If you have given consent to do so afterwards, the data retention period can be extended to a maximum of one year, after which your personal data will be erased from our systems.
- To answer your questions
If you contact us via (the contact details or e-mail address) or via the contact form on the website, we will use your personal data to answer your questions.
This requires us to process your name, contact details, correspondence with us regarding your question, and all other personal data needed to answer your question.
We only process your personal data for this purpose if you give your consent.
Your personal data will be kept for this purpose until four weeks after the application procedure ends. If you have given consent to do so afterwards, the data retention period can be extended to a maximum of one year, After this period, your personal data will be erased from our systems.
- To conclude an employment contract with you
If we offer you a job at Imbema, we will process your personal data to draw up an employment contract and process your data in this contract. We use your personal data to conclude, carry out, and terminate your employment contract. We also store your personal data in our HR database.
If you are a freelancer, we will process your personal data in the same way in order to conclude an agreement with you.
For this purpose, we process your contact details, date of birth, gender, marital status, nationality, citizen service number (BSN), passport data, recruitment information (such as employment history, details about your training and education), work and job data, availability, employment conditions, tax details, payment details, and insurance details.
We process your personal data for this purpose because this data is required to be able to conclude an employment contract with you.
- WHO HAS ACCESS TO YOUR PERSONAL DATA?
5.1 Access to your personal data at Imbema
All the employees involved in and relevant to your application process, such as our HR staff and the manager concerned, have access to your personal data, but only to the extent necessary to fulfil their respective duties.
Your personal data may also be accessed by other relevant departments in the company, such as IT, but only to the extent necessary to fulfil their respective duties. Imbema takes measures to ensure that your personal information is adequately protected.
5.2. Access to your personal data by third parties
The following third parties may have access to your personal data so that they can deliver their products or services to Imbema:
- Recruitment organisations
- IT companies and suppliers
If your personal data is transferred to a third party in a country that does not have an adequate level of personal data protection, we will take measures to ensure that your personal data is adequately protected. In other cases, your personal data will not be provided to third parties, unless this is required by law.
5.3.The processing of your personal data by processors
If a third party processes your personal data on behalf of Imbema according to our instructions, this party acts as a processor for Imbema. We conclude data processing agreements with such processors covering the processing of personal data. These agreements contain at least the following obligations to guarantee that your personal data is only provided to the data processor in the context of carrying out our services.
- HOW DO WE GUARANTEE THE PROTECTION OF YOUR PERSONAL DATA?
We have taken adequate safeguards to ensure the confidentiality and security of your personal data. These include appropriate physical, technical, and organisational measures to protect personal data against destruction, loss, damage, alteration, unauthorised disclosure or access, and any other forms of unlawful processing, including, but not limited to, unnecessary collection, and any further processing by authorised or unauthorised third parties.
- HOW LONG IS YOUR PERSONAL DATA RETAINED?
Your personal data will be erased or anonymised when your personal data is no longer needed for the purposes for which it is processed. The data will be erased four weeks after termination of the recruitment procedure. If you have given consent, the retention period can be extended to a maximum of one year. Any other deviating specific retention period determined by us can be found under the purposes listed in Chapter 4).
- HOW CAN YOU EXERCISE YOUR PRIVACY RIGHTS?
You have the right to request an overview of your personal data, and, under certain conditions, to demand rectification or erasure of your personal data. You also have the right to restrict processing of your personal data, the right to object to processing, and the right to data portability.

You can submit a complaint with us at any time about the processing of personal data by Imbema by contacting our Data Protection Officer. If you believe that we are not processing your personal data carefully and fairly, you also have the right to file a complaint with the supervisory authority. In the Netherlands, this authority is the Dutch Data Protection Authority.
